2009 Inca Trail 4 day Private Trek Booking Details Service (IT403)

Inca Trail To Machu Picchu

Due to restrictions on the numbers of trekkers permitted on the Inca Trail all reservations must be made well in advance.

Before making a trek booking please read the following information carefully

1. Details required to make a trek booking: We need the names, nationalities, ages and passport numbers of all group members. If any member of the group does not have their passport number or is waiting for a new passport please do not make a reservation until all information is available. Please clearly state if you want to hire the services on an extra half porter or stay an extra night in Aguas Calientes after the trek as these details cannot be changed after making a booking. Details such as hiring an extra sleeping bag or having special/vegetarian meals can be changed right up until 2 days prior to departure. The name and passport number that you send us when making a trek booking will be written on your trek permit (bought well in advance). After purchasing the permit we cannot change the date of trek departure or change the name or passport number on the trek permit. When you start the Inca Trail government wardens will check your passport details against the details on the trek permit. If the details are not the same then you will not be allowed to start the trek.

2. Arrive in Cusco 2 days before trek departure: Your arrival date in Cusco must be at least 2 days prior to trek departure since you have to pay the trek balance before 8pm, 2 days before you start the trek. Arriving 2 days prior to the trek also ensures that you are better acclimatized to the high altitude. However 3 days is recommended.

3. Payment of trek deposit: You will need to pay the trek deposit of US$200 per person within 07 days of us accepting your booking. We will send you details of how to pay the deposit when we confirm your trek booking:

3.- by Mail Order System On-line by Amex and Master Credit Cards (MOTO)

Further details of how to send the deposit are included with our trek booking confirmation email. The remaining balance is to be paid in our office at least two days prior to your trek departure date. Payment can be made only in cash US$, local currency (Peruvian Soles), or American Express Travel Cheques (3%).

4. Student discounts: If you are claiming a student discount you must send us a 'JPEG' scan of your ISIC card by email within 03 days of us accepting your booking. Only a valid ISIC card is acceptable. If you cannot provide us with a scan of your ISIC card within 3 days of us accepting your booking we will charge you the standard adult trek price. There is now no age limit for students.
You MUST bring the ISIC card to the office when you pay the trek balance and take it with you on the Inca Trail as it will be checked several times by government officials. Unfortunately no other forms of student identity are acceptable (university cards, international youth cards, teachers cards etc). If you forget your ISIC card or lose it then there is a risk that you may not be allowed to start the Inca Trail. Many students have been turned away at the start of the trek this year for not having a valid ISIC card. (Note: it is a rule to follow according the bookings regulations on the Inca trail 2009)

5. Child discounts: Children under 16 years old receive a US$40 discount. If you are claiming a child discount you must send us a scan of your child's passport (page containing photo and date of birth) by email within 3 days of us accepting your booking. If you cannot provide us with a scan of your child's passport within 3 days of us accepting your booking we will charge you the standard adult trek price for your child. (Note: it is a rule to follow according the bookings regulations on the Inca trail 2009)

6. Children under 08 years old receive a US$70 discount, If you are claiming a children discount you must send us a scan of your children's passport (page containing photo and date of birth) by email within 3 days of us accepting your booking. If you cannot provide us with a scan of your children's passport within 3 days of us accepting your booking we will charge you the standard Child trek price for your children. (Note: it is a rule to follow according the bookings regulations on the Inca trail 2009)

SAE members: $15 discount per person, it will be discount at the time of your  final balance payment.(Please show your SAE member card to our office crew once you are in Cusco and you will get the discount)

(If you are renewing your passport, you can send us your old passport number, but you MUST bring the old passport on the Inca Trail).

Please note we are unable to accept any bookings without ALL of the passport numbers. You can provide an old passport number, but you MUST bring the old passport on the Inca trail or your new passport must contain the old passport number inside. This is checked at the start of the Inca Trail. If the original passport number you booked with, does not match up, you will be unable to trek.

We will confirm your trek reservation by email within a couple of days.
We will require a trek deposit of US$200 per person paid within 07 days of us confirming your trek booking. The date by which the trek deposit has to be paid and details of how to pay the trek deposit will be included in the trek confirmation email.

Single traveller booking are accepted for the group service. There are optional US$15 single tent supplement, and a US$5 airport pick up charge.
 

Andean Life Trek Cancellation Policy


1. The trek deposit must be paid prior to the date shown on the trek confirmation email. Clients must email Andean Life to confirm that they have paid the deposit. Failure to pay the deposit and/or inform us of the deposit payment details before this date will result in automatic trek cancellation.
2. The trek balance must be paid in the Andean Life office prior to 8pm, at least 2 days prior to trek departure. Failure to pay the trek balance prior to this time will result in trek cancellation.
3. Trek cancellations made between payment of trek deposit and 8pm, 2 days prior to trek departure date: Return of all payments made, less the trek deposit of US$200 per person, less any costs associated with receiving and returning the payment.
4. Trek cancellations made after 8pm, 2 days prior to trek departure: No cash refund. However we will give to your Inca Trail and Machu Picchu entrance ticket, your bus ticket from Machu Picchu to Aguas Calientes and your return train ticket from Aguas Calientes to Cusco (approximate value US$140). Please note that the client will be responsible for changing the dates of any of these tickets (if necessary) and any costs associated with such changes.

In all instances of trek cancellation by the client Andean Life will provide written confirmation of the cancellation and details of any payments lost so as to be used in the event of any insurance claim made by the client.

 

Important note about possible changes to trek prices in 2009:


The price of our standard 4 day Inca Trail group service as listed on our website is based on the following costs:
(a) Inca Trail and Machu Picchu entrance fee is 244 Peruvian Soles (approx US$85) per tourist and 39 Peruvian Soles per porter (approx US$12)
(b) The price of the train service from Aguas Calientes to Cusco in Backpackers class is US$48 per person (2008)
(c) The price of the bus from Machu Picchu to Aguas Calientes is US$6 per person
(d) The current rate of Peruvian sales tax (IGV) is 19%

The above costs are based on all information currently available. Although the government has not confirmed the price of the Inca Trail and Machu Picchu entrance fee (trek permit) in 2009.
An increase to any of the above third party costs are completely outside of the control of Andean Life and will be passed directly on to our clients. As soon as we are aware of any such increase we will immediately update our website and the price of our trek increased accordingly. Clients be be asked to pay any differences to the cost of the trek when paying the trek balance upon arrival in Cusco. The actual cost of the trek permits / train tickets and bus tickets is clearly marked on the respective tickets so it will be very clear to our clients that an increase to any of the above costs has occurred. We appreciate you understanding in this matter.
